The New York distinction
New York City issues birth and death certificates for the five boroughs—Manhattan, Brooklyn, Queens, the Bronx and Staten Island. Records from Nassau, Suffolk and other New York counties are not NYC records. Marriage records may also come from the NYC City Clerk or another local issuing office.
That issuing location affects which certified version and supporting authentication may be required. PRONTO reviews the document before confirming the service.
Before you mail the document
A hospital certificate, ordinary photocopy, informational copy or incomplete certified record may not qualify.
The five boroughs use NYC issuing offices; records from the rest of New York State follow a different route.
Some public records and New York-notarized documents require county-level authentication before the state apostille.
The notarial certificate, venue, date, signature and seal must be complete and tied to an eligible New York notary.
A diploma or transcript may require a statement from the appropriate school official and qualifying notarization.
The receiving country determines whether an apostille is appropriate and may impose translation or document-age requirements.
How PRONTO’s service works
You do not have to live in New York. The document’s issuing state determines the apostille authority, while PRONTO coordinates the service for you.
Send the document through WhatsApp with the issuing city or county, destination country and deadline.
We identify the service and explain whether your current version appears ready for processing.
Ship the qualifying original or certified document to our Miami office using the instructions we provide.
PRONTO returns the completed document to your confirmed domestic or international address.
State and federal routes are different
New York public records and New York-notarized documents are authenticated through New York. They are not sent to the U.S. Department of State for a federal apostille.
An FBI background check is a federal document and follows a separate process. Tell us what issued your document and where it will be used so we can identify the correct service.
Price and timing
Total price and timing depend on the document, issuing office, required authentication, number of documents, destination country and return shipping. PRONTO reviews those details before confirming the order.
We look for certificate, signature, county-authentication and notarization issues before submission whenever possible.
You receive the current service estimate after we understand the document and destination.
Completed documents can be returned to a confirmed U.S. or international address with tracking.
